About the company

The Nordic way of life is not only deeply rooted in the quality of the Icelandic Provisions’ products but runs deep in the organizational culture through the WÁOO (pronounced WOW!) values. When we are attracting talent to join our growing organization, a natural question we ask is whether the candidate brings the “wáoo” factor? We describe is as: Welcoming, Ámbitious, Optimistic, and On with the butter!

With a strong consumer and business base to build on, we are looking for product-obsessed, passionate individuals who are energized about rapid growth and achievement and want to be a part of the happy, healthy cultural movement that we are leading. We believe in putting best-in-class products in the market and take pride in what we are building, “making everything count” along the way.

About the role

This is a senior EDI analyst role for someone who wants to run EDI with modern tools. You’ll keep orders, ship notices, invoices, and inventory flowing across 50+ retail and distributor partners. The systems involved are NetSuite, SPS Commerce, and our national cold-storage 3PL. You’ll be the team’s operator. You’ll work the exceptions, reconcile the 3PL, test partners, handle EDI setup, and keep our tools running, while the Manager, Enterprise Applications sets priorities and reports on what errors cost.

You’ll operate and help maintain the in-house tools that monitor our EDI and triage errors with AI. They’re Python services backed by PostgreSQL. When something breaks, you’ll find the cause, fix it or route it to the right owner with evidence, and document it so it doesn’t recur. You’ll work closely with Customer Operations, Transportation, and Finance, and you’ll be the day-to-day contact for our EDI provider and the 3PL’s EDI team. You’ll also help the COO extend that automation to other operations and Finance workflows.

What you’ll do

  • Exception resolution.
  • Work the EDI exception queue (856, 810, 940/945, 944, 947, and others).
  • Diagnose the cause, correct it, and re-trigger.
  • Log each exception’s root cause, and escalate recurring patterns with the evidence.
  • Operate and maintain our EDI tools.
  • Run the monitoring and AI-assisted classification tools from their runbooks.
  • Handle the common breaks: provider format changes, unmapped partners, and fetch failures.
  • Ship small fixes through code review.
  • Supervise and extend the automations as new failure types appear.
  • 3PL inventory reconciliation.
  • Reconcile receipts, adjustments, and inventory snapshots against NetSuite by location and lot.
  • Resolve discrepancies before month-end.
  • Trading-partner onboarding and testing.
  • Run testing with our EDI provider and retailers.
  • Maintain the partner requirements matrix.
  • Retailer compliance.
  • Own ASN accuracy and routing-guide and scorecard follow-up.
  • Gather and classify deduction and remittance (820) data with Finance, and trace each deduction to its cause. The manager owns the reporting and the dollar view.
  • EDI setup and master data. Partner and customer EDI settings in NetSuite and SPS Commerce, item cross-references, and invoice transmission setup.
  • Finance and integration support.
  • Run recurring Finance reconciliations, such as pricing variance, from their tools.
  • Support warehouse, co-manufacturer, and connector projects with testing and validation.

What you bring

Required

  • 3–5 years of hands-on EDI operations in CPG, food & beverage, or distribution.
  • Working knowledge of X12 order-to-cash and warehouse documents.
  • Experience with SPS Commerce or a similar EDI provider.
  • Experience with NetSuite or a comparable ERP.
  • Experience working with a 3PL on receipts, shipments, and inventory adjustments.
  • At least one of: SQL, scripting (for example, Python), or an iPaaS/integration tool.
  • Hands-on use of AI tools for analysis or triage.

Preferred

  • Python.
  • Experience with git, code review, or running scripts on a server.
  • Building AI agents or automations, or clear eagerness to learn.
  • Lot- and expiry-tracked or cold-chain inventory.
  • Prior work at an EDI provider, a 3PL, or a distributor.
  • Experience with KeHE, UNFI, or national grocery compliance programs.

organization qualifiations

The ideal candidate for any role within Icelandic Provisions needs to align to the values by exemplifyingWÁOO (pronounced WOW!) in the way that they lead.We will naturally be assessing for the “wáoo” factor (i.e., did they “wáoo” you and will they “wáoo” others?)Here’s how we describe it:Welcoming, Ámbitious, Optimistic, On with the butter!

  • WELCOMING - Food is one of the greatest connectors we have as humans. In the English language the word “companion,” in Spanish the word “companero,” in Italian the word “compagno,” and in French the word “copain” all come from the Latin meaning “with whom one eats bread.” We love this because we are a provisions company, and we value and embrace how food brings us together. So, it’s only natural that we look for talent that is hospitable and welcoming, treating and accepting others in a way that is consistent with the culture at IP.
  • AMBITIOUS - We have big dreams. We are eager, brave, passionate and love to punch above our weight. We compete in one of the most competitive categories in the consumer-packaged goods retail landscape and we are a small and mighty team.We are seeking individuals who are smart, entrepreneurial, and energized by charging toward a common goal to join our team.
  • OPTIMISTIC - We are a glass half full company. Iceland is regarded as one of the happiest countries on earth despite being dark for much of the year.We are looking for individuals who are focused on the upside, shy away from negativity, and know how to persevere no matter what the circumstances are.
  • ON WITH THE BUTTER! - Put simply we do not like to dilly-dally.We connect dots, move, and then move on. There is an Icelandic phrase that is used to encourage people to get on with it called “áfram með smjörið” which literally translates as “get on with the butter.”We are seeking individuals who know how to make informed decisions and then quickly action them.

you’re an ideal candidate if…

  • You think working in a fast paced, ever changing, entrepreneurial environment is exciting
  • You believe there is always a better way. You ask lots of questions, actively seek the opinions of others and love working collaboratively
  • You are a “Swiss Army Knife” of talents and are comfortable with the often fluid, changing environment of a startup and want to make a positive and lasting impact
  • The unknown, the ill-defined or the uncharted motivates you
  • You are looking for a work environment without a lot of hierarchy, you like empowerment and have a “roll up your sleeves” mentality
  • You have strong analytical skills balanced with a great sense of logic and pragmatism when it comes to problem solving
  • You are self-aware, you pay attention to organizational dynamics, and you are comfortable pacing how you influence and drive organizational change
  • You are both a doer and an optimist

What success looks like in 6–12 months

  • High-severity exceptions are handled within agreed times, with no aged backlog.
  • Recurrence falls for the top root causes, and each has a playbook, a fix, or an automation.
  • More transactions go through clean on the first pass, and more exceptions are resolved automatically.
  • You’ve shipped fixes to our EDI tools through code review.
  • 3PL inventory variance by location is within tolerance at month-end.
  • Partner onboardings hit their dates, and compliance fines and deductions trend down.
  • Every exception and deduction you handle carries a root cause, so the monthly cost-of-errors report runs on clean data.
